Terms of Service

Effective October 15, 2026 (first published June 1, 2026). Operator: Ardonis LLC. Self-prepared; not reviewed by outside counsel.

Provider: Ardonis LLC ("TableCoach," "we," "us"), 3313 Caldera Blvd, Midland, TX 79707.

1. Acceptance

By creating an account or using TableCoach (the "Service"), you agree to these Terms and to our Privacy Policy and Acceptable Use Policy. If you do not agree, do not use the Service.

2. Eligibility

You must be at least 13 years old (or the minimum age of digital consent in your jurisdiction) to use the Service. By using it you represent that you meet this requirement. Age is self-attested at signup; we do not separately verify it.

3. Accounts

The Service is in open beta: anyone who meets § 2 can create an account. You are responsible for the activity under your account and for keeping your credentials secure. Don't share, sell, or transfer your account. We may suspend or terminate accounts that violate these Terms.

Accounts made at a convention table. A guest at a Game Night held at a convention can keep their night with just an email address. If that address has no account, we make a free account for it when you ask, and checking the box to say you agree to these Terms and our Privacy Policy is your acceptance, as at signup. The account is confirmed when you open the link we email you. If nobody confirms or uses it, we delete it once the link has expired, as our Privacy Policy describes. Only ask with an email address that is yours.

4. Free trial, subscriptions, and payment

Free trial. A new account gets 7 days of full access, including asking Coach and uploading, starting when you first ask Coach a question or first upload a rulebook or document. No payment details are needed for the trial. One trial per person: we may end trials obtained by creating more than one account.

After the trial. These need a paid subscription ("Pro"): asking Coach (typed, by voice, or with a photo), uploading, downloading rulebooks and printable sheets, Beginner's Tips, the Teaching Guide, Coach's Ambiance, the Coach's Playbook, and hosting a Game Night (starting one, planning one and sending its invitations, putting it at a convention with Con Mode and posting Players wanted there, and saved groups with a repeating schedule). Everything else stays free, including browsing the shared library and reading its rules, your own library (My Shelf: your games, plays, photos, notes and imports), the table tools, joining, answering, voting and suggesting games for a Game Night someone else hosts (at a convention too), People, connections and messages, toasts and comments, your convention page, your gamer card, and saying you're coming to a Players wanted table. Coach and the Pro helpers at a Game Night work when the host has Pro or an active trial.

Plans and prices. Pro costs US$5.99 per month or US$59.99 per year, plus any applicable sales tax. The price, and any tax, is shown before you pay. Subscriptions are available to customers with a United States billing address and a card issued in the United States. If a subscription is started with any other address or card, we cancel it and refund it in full.

Automatic renewal. Your subscription renews automatically at the end of each billing period (monthly or yearly), and your payment method is charged the price then in effect, until you cancel. We send a reminder before a yearly plan renews.

Canceling. You can cancel at any time from your account ("Manage subscription"). Cancellation takes effect at the end of the current billing period: you keep Pro until then and are not charged again. Deleting your account also cancels your subscription.

Refunds. Payments are non-refundable, and we do not give partial refunds for unused time, except where the law requires it.

Failed payments. If a payment fails we will retry it. If it still cannot be collected, Pro ends.

Price changes. We may change our prices. We will tell you at least 30 days before a new price applies to your subscription, and you can cancel before it does.

Payment processing and taxes. Payments are processed by Stripe, Inc., and we do not receive or store your full card number. Stripe's terms apply to payment processing. Prices do not include sales tax, which is added at checkout where it applies.

Beta testers and promotions. Pro access we have granted as a beta tester or through a promotion continues on the terms we gave you when we granted it.

5. Your content and the license you grant

"User Content" means anything you upload or submit, including rulebook PDFs, documents, links, and the text of your interactions. You retain ownership of your User Content.

What you post to other people. Toasts, comments, messages, the note on a connect request, the name you show a convention table, and Players wanted posts are User Content too. They go to the people the Service shows them to, as our Privacy Policy describes, and you are responsible for them. The license below covers showing them to those people and keeping the copy that a report makes. Deleting a message for yourself leaves the other person's copy. We don't check comments, messages or posts before they appear; we act on reports.

By uploading User Content, you grant TableCoach a worldwide, non-exclusive, royalty-free license to host, store, reproduce, process, render (including generating page images and machine-readable text), index, display, and generate derived materials (such as setup guides, teaching scripts, and audio narration) from that content, to operate and provide the Service to you and, where the content is in the public shared library (see § 6) or is something you post to other people, to other users.

You can delete your User Content. When you do, we remove it from active use, except that: (a) copies retained as required by law or for safety/legal preservation persist (see the Privacy Policy); and (b) derived materials or copies that have already been incorporated into the public shared library or into other users' saved/cached views may persist to the extent necessary, and we are not obligated to retrieve them from every such location.

You represent and warrant that you own your User Content or have all rights necessary to upload it and grant this license, and that, to your knowledge, your User Content does not infringe anyone's rights or violate any law. Do not upload copyrighted material you do not have the right to share. Many rulebooks are copyrighted by their publishers; uploading them without authorization may infringe those rights and is your responsibility, not ours.

6. Public library

By default, rulebooks you upload are made public in a shared library visible to other users of the Service, and may be used to answer other users' questions and to generate guides, teaching scripts, and audio for them. You can change a game's visibility where the Service provides that control. Content shown to other users must comply with the Acceptable Use Policy. Do not put private or sensitive information inside documents you upload.

7. Acceptable use and moderation

Your use must comply with the Acceptable Use Policy. We use automated classification and human review to keep the Service safe. We may quarantine, remove, or refuse any content, and may apply warnings, rate limits, suspension, or account termination, at our discretion, to enforce these Terms or comply with law.

People. You can block anyone you have met through the Service, and report a person, a comment, a message or a Players wanted post, from the app. Our moderators can remove what was reported, and we may suspend or close an account under the Acceptable Use Policy. Blocking and reporting help, but we can't promise that nobody will ever send you something unwelcome, and we are not responsible for what other people post or send.

We respond to valid notices of claimed copyright infringement under the DMCA and terminate repeat infringers in appropriate circumstances. See our DMCA / Copyright page for how to send a notice and for our designated agent's contact information.

9. AI-generated output

TableCoach uses AI to generate answers, setup guides, quick references, beginner's tips, teaching guides, the Coach's Playbook, summaries, Game Night recaps, names for uploaded games and documents, Coach's voice and the ambient music. How we use AI: table.coach/ai. AI output can be incomplete or wrong. It is provided for convenience and is not a substitute for the official rules. Verify against the actual rulebook for anything that matters.

10. Service changes and availability

The Service is in open beta and may change, break, or be unavailable. We may add, modify, or discontinue features at any time.

11. Disclaimers

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE," WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT, TO THE FULLEST EXTENT PERMITTED BY LAW.

12. Limitation of liability

TO THE FULLEST EXTENT PERMITTED BY LAW, ARDONIS LLC WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR LOST PROFITS OR DATA, ARISING FROM OR RELATED TO YOUR USE OF THE SERVICE. IN ANY CASE, OUR TOTAL AGGREGATE LIABILITY FOR ANY CLAIM IS LIMITED TO THE GREATER OF (A) THE FEES YOU PAID US IN THE 12 MONTHS BEFORE THE CLAIM OR (B) US$100.

13. Indemnity

You agree to indemnify and hold harmless Ardonis LLC from claims arising out of your User Content or your violation of these Terms or applicable law.

14. Termination

You may stop using the Service and delete your account at any time. We may suspend or terminate your access for violations of these Terms or applicable law.

15. Governing law and disputes

These Terms are governed by the laws of the State of Texas, without regard to conflict-of-laws rules.

Binding arbitration; class-action waiver. Any dispute arising out of or relating to these Terms or the Service will be resolved by binding individual arbitration, rather than in court, except that either party may bring an individual claim in small-claims court. The arbitration will be administered by a recognized arbitration provider under its rules, seated in Texas, and judgment on the award may be entered in any court of competent jurisdiction. You and Ardonis LLC waive any right to a jury trial and to participate in a class, collective, or representative action. If this class-action waiver is found unenforceable, the remainder of this arbitration provision is void. You may opt out of arbitration by emailing [email protected] within 30 days of first accepting these Terms.

16. Changes to these Terms

We may update these Terms; material changes will be indicated by updating the effective date and, where appropriate, notifying you. We will not apply materially adverse changes retroactively without notice. Continued use after changes means you accept them.

17. General

Severability. If any provision is held unenforceable, the rest remains in effect and the unenforceable provision is limited to the minimum extent necessary. Assignment. You may not assign these Terms; we may assign them to an affiliate or in connection with a merger, acquisition, or sale of assets. Entire agreement. These Terms, the Privacy Policy, and the Acceptable Use Policy are the entire agreement between you and Ardonis LLC regarding the Service and supersede prior understandings. No waiver. Our failure to enforce a provision is not a waiver of it. Force majeure. We are not liable for delays or failures caused by events beyond our reasonable control. Notices. We may provide notices to you via the Service or your account email.
